ABOUT OUR ORGANISATION

Blackfriars Hall and Blackfriars Studium are managed by the Dominican Friars and as such come under their charity, ‘The English Province of the Order of Preachers’, reg’d in England and Wales no. 231192 and in Scotland SC039062. 

 

Personal data for our supporters and other contacts are centrally held in a single secure database, so any interactions you have with the other parts of our charity in addition to those you have with Blackfriars will be held on a single contact record. If you are an alumnus/a of or donor to Oxford University, the University will also hold your personal data and you should read their privacy notices  https://compliance.admin.ox.ac.uk/how-we-use-your-data.

 

SECURE AND COMPLIANT

Your personal data are used by us for the purpose of sustaining your relationship with Blackfriars, and to support our fundraising. We comply with current UK regulations on personal data, communications, and privacy. We only share personal data outside our organisation for specific and limited purposes, subject to strict safeguards (e.g. with the collegiate Oxford University for coordinating alumni events; with printers, email service providers, statutory bodies). We use some secure third-party data processors whose servers store data outside the UK but fully comply with UK regulations. 

 

Academic and/or pastoral records are kept entirely separately and not accessed by our Alumni and Development Office.

 

HOW LONG WE KEEP DATA

Blackfriars considers its relationship with alumni, donors and supporters to be life-long and we will retain much of your data indefinitely unless you request otherwise. 

 

YOUR RIGHTS

You can ask to view, correct or erase your data at any time, and are free to withdraw any consents you give. You can complain to the UK Fundraising Regulator if we fail to respect your rights. Please note that in some cases we may be unable to erase your data if retention is required to meet our legal obligations. 

 

COMMUNICATIONS

Email: We will only email you if you opt in to one of our mailing lists (e.g. alumni news) – we cannot keep you informed about events and opportunities unless you do so.

Appeals. We may wish to send you occasional direct fundraising communications by post; you are free to get these by email instead, or opt out altogether by selecting one of the options in the section 'Special Appeals Preferences', below.

 

  

INFORMATION WE MAY HOLD

We get some of this information directly from you, and we may enhance this using research from other sources (especially public-domain webpages). 
  • Your name, address(es), date of birth, gender
  • Key relationships such as spouse and connections to other persons and organisations on our database
  • Contact details
  • Details of studies
  • Interests, positions, awards, when at Blackfriars
  • Career and employment, interests, achievements
  • Links to your public social media and web pages
  • Communication preferences and subscriptions
  • Records of our interactions with you, e.g.
    • Log of correspondence and conversations
    • Mailings/emailings sent and your responses (including opens, clicks, IP address, geolocation, donations, bookings)
    • Participation in events
  • Donations and pledges made by you
  • Gift Aid records 
  • Our assessments regarding your affinity to our organisation and your capacity to support us through donations
  • Sensitive personal data: we avoid holding these, however our records may contain:
    • Health information you have shared with us e.g. in relation to events
    • Ethnicity/religion/political views/sexual orientation data are not held but may be inferred from other information we hold

 

RESEARCH FOR MAJOR GIFT FUNDRAISING

We research our contacts in order to discover those who may have the ability to offer larger gifts. Mostly we undertake research using public-domain sources – typically internet searches. Sometimes we may use a secure third-party research service to help us develop our understanding of those we suspect of falling into this group. This research gives a fuller picture of such people: their interests, financial capacity, social networks, philanthropy, involvement in charities. This information is used to enhance our data records and makes it more likely that our fundraising approaches will be welcomed and appropriate.
